Format a document easily
The process to format a document within Word is quite simple. We will guide you little by little so that you can optimize the format of the document and make it more complete. You must follow these steps:
- Open the Word document you want to format.
- You have to click on the “Replace” button within the home tab.
- Go now to the “Search” box
- You must click on the “More” button to see other options.
- Next, we must click on the “Format” option.
- Now we must click on the type of format that we are looking to replace. Within the drop-down menu we will see all the options available for this element.
- After selecting the type of format that we want to modify, we must click on “Accept”.
- You must now go to the “Replace with” box.
- Again, we must click on “Format” and choose the new style or adjustment that we want to make to the text.
- Once you have the new settings established, click on “Accept”.
- Now, we have to choose one of these options:
- Replace: Changes only the first element found in the text. To apply it to other elements that have the same conditions, you must continue pressing “Replace”.
- Replace all: If we want all parts of the text of the same format to change to the new format, we must choose this button.
- Search next: It will jump until it finds the exact element that we are interested in adapting to the new format.
- When they are all changed, a dialog box will be shown telling us that the search has finished and we click “Accept”.
- Once we consider that we have finished, we click on the “Close” button.
There are multiple different “Format” options that we can modify in a document. We can adjust aspects of font, paragraph, tabs, language, frame, style and highlighting. Each of these options has its own panel that allows you to make different types of adjustments to the document.
We have to highlight that this complete option is only in the desktop version of Word. Unfortunately, the web or online version does not offer these possibilities, only allowing you to search for terms or phrases. Doing it through the web version can be a little more laborious, since we would have to make the adjustments manually, not being able to do it in bulk.
